  • Preventing fraud, abuse, and unauthorized access to our platform

4. Voice Recording Disclosure

Our voice assistant records all inbound and outbound calls that it handles on your behalf. This is a core part of how we deliver our services. Recordings are used to:

  • Generate accurate transcripts so you can review what was discussed
  • Extract appointment details, customer information, and service requests
  • Monitor and improve the quality and accuracy of call handling
  • Provide evidence of conversations in case of disputes

Our voice assistant informs callers at the start of each call that the call may be recorded for quality and service purposes. However, you are also responsible for complying with applicable call recording laws in your jurisdiction. Some states require all-party consent for recording telephone calls. It is your responsibility to understand and comply with the laws that apply to your business and location.

When call recording is enabled for your account, you may request access to or a copy of your call recordings by contacting us during the retention period; we will provide them for the account associated with your request. See Section 6 (Data Retention) for details on how long recordings are kept.

5. Data Sharing and Third-Party Services

We do not sell your personal information or your customers' personal information to third parties. We share information only in the following circumstances:

5.1 Service Providers

We work with trusted third-party service providers to deliver our platform. These providers process data on our behalf and are contractually obligated to protect your information:

  • Twilio - Provides telephony infrastructure for our voice assistant, including call routing, phone number management, and SMS delivery
  • Stripe - Processes subscription payments and manages billing securely under PCI DSS compliance
  • Voice technology providers - Power the speech recognition and voice synthesis capabilities of our voice assistant
  • Cloud hosting providers - Store and process data on secure, encrypted infrastructure
  • Analytics providers - Help us understand website usage and platform performance through aggregated, anonymized data

5.2 Integrations You Authorize

If you connect third-party services to our platform (such as CRM systems, scheduling tools, or review platforms), we will share relevant data with those services as needed to operate the integration. You control which integrations are active and can disconnect them at any time.

5.3 Legal Requirements

We may disclose your information if required to do so by law or in good faith belief that such action is necessary to:

  • Comply with a legal obligation, subpoena, or court order
  • Protect and defend the rights or property of Pest Control Automation
  • Prevent or investigate possible wrongdoing in connection with our services
  • Protect the personal safety of users of our services or the public

5.4 Business Transfers

If Pest Control Automation is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on our website before your information becomes subject to a different privacy policy.

6. Data Retention

We retain different types of data for different periods based on the purpose for which they were collected:

  • Call recordings - When recording is enabled for your account, retained for one year by default. You may request extended retention or early deletion at any time. You may request access to or a copy of your recordings by contacting us during the retention period.
  • Call transcripts and metadata - Retained for the duration of your active subscription. Transcripts are included in your data export upon account closure.
  • Account and business information - Retained for the duration of your subscription and for 12 months following account closure, after which it is permanently deleted.
  • Billing and payment records - Retained for 7 years following the transaction to comply with tax and financial reporting requirements.
  • Usage logs and analytics - Retained for 24 months in identifiable form, then anonymized for aggregate reporting.
  • Customer (end-user) data - Retained for the duration of your subscription. Upon account closure, customer data is included in your data export and permanently deleted from our systems within 45 days.
  • Our own materials and derived insights - Content we create ourselves, together with de-identified and aggregated material derived from platform activity (from which you and your customers cannot be identified), is not customer data and is retained indefinitely. This is what lets us keep improving the accuracy and effectiveness of our voice assistant for everyone. It is separate from the retention periods above, which govern your data and your customers' data.

You may request early deletion of your data at any time. The fastest way is to submit a deletion request directly in the product, from your account settings; you can also email us at [email protected]. Once we verify the request, we give you a short 7-day window to cancel it if you change your mind. After that window, we complete the deletion within 45 days and send you a written confirmation when it is done.

Please note that some records cannot be deleted because the law requires us to keep them. In particular, we are required to retain billing and financial records, so these are not removed as part of a deletion request. Deleting certain other data may also affect our ability to provide services to you.

7. Security Measures

We take the security of your data seriously and implement industry-standard measures to protect it:

  • Encryption in transit - All data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher
  • Encryption at rest - Stored data, including call recordings and customer information, is encrypted using AES-256 encryption
  • Access controls - Access to customer data is restricted to authorized personnel on a need-to-know basis, with role-based permissions enforced across our platform
  • Infrastructure security - Our platform is hosted on enterprise-grade cloud infrastructure with firewalls, intrusion detection, and regular security updates
  • Regular security reviews - We conduct periodic security assessments and vulnerability scans to identify and address potential risks
  • Secure payment processing - Payment information is handled by Stripe, which is PCI DSS Level 1 certified

While we implement robust security measures, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security, but we are committed to protecting your data using commercially reasonable safeguards. If you become aware of a security vulnerability or suspect unauthorized access, please contact us immediately at [email protected].

8. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Right to access - Request a copy of the personal information we hold about you
  • Right to correction - Request that we correct any inaccurate or incomplete information
  • Right to deletion - Request that we delete your personal information, subject to certain legal exceptions
  • Right to restrict processing - Request that we limit how we use your information
  • Right to data portability - Request a copy of your data in a structured, commonly used, machine-readable format
  • Right to object - Object to our processing of your information for certain purposes, including direct marketing
  • Right to withdraw consent - Where we rely on your consent to process information, you may withdraw that consent at any time

To exercise any of these rights, the fastest way is to submit a request directly in the product, from your account settings; you can also email us at [email protected]. We may need to verify your identity before processing your request. For a deletion request, once it is verified we give you a short 7-day window to cancel it if you change your mind, then complete the deletion within 45 days and send you a written confirmation when it is done. You will not be charged a fee for exercising your rights, and we will not discriminate against you for doing so.

Some records cannot be deleted because the law requires us to keep them. In particular, we are required to retain billing and financial records, so these are not removed as part of a deletion request.

9. Cookie Policy

Our website uses cookies and similar technologies to provide core functionality and understand how visitors interact with our site.

Essential Cookies

These cookies are necessary for the website to function and cannot be disabled. They include session cookies for authentication, security tokens, and user preference settings.

Analytics Cookies

We use basic analytics tools to understand how visitors use our website, including which pages are most visited and how users navigate the site. This data is aggregated and anonymized. We do not use third-party advertising or behavioral tracking cookies.

Managing Cookies

You can control cookies through your browser settings. Most browsers allow you to block or delete cookies. Please note that disabling essential cookies may affect the functionality of our website and your ability to access certain features.

10. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information.

Your CCPA Rights

  • Right to know - You have the right to request that we disclose what categories of personal information we have collected about you, the categories of sources from which it was collected, the business or commercial purpose for collecting it, the categories of third parties with whom we share it, and the specific pieces of personal information we hold about you.
  • Right to delete - You have the right to request that we delete personal information we have collected from you, subject to certain exceptions (such as information needed to complete a transaction or comply with legal obligations).
  • Right to opt out of sale - We do not sell personal information. If that changes, you will have the right to opt out.
  • Right to non-discrimination - We will not discriminate against you for exercising any of your CCPA rights. We will not deny you services, charge you different prices, or provide a different level of service because you exercised your rights.

Categories of Information Collected

In the preceding 12 months, we have collected the following categories of personal information as defined by the CCPA:

  • Identifiers (name, email address, phone number, IP address)
  • Commercial information (subscription records, transaction history)
  • Internet or electronic network activity (website usage data, platform interaction logs)
  • Audio information (call recordings handled by our voice assistant)
  • Professional or employment-related information (business name, role, industry)

Exercising Your CCPA Rights

To submit a CCPA request, the fastest way is to submit it directly in the product, from your account settings; you can also email us at [email protected]. We will verify your identity before processing your request and respond within 45 days. For a deletion request, once it is verified we give you a short 7-day window to cancel it if you change your mind, then complete the deletion within 45 days and send you a written confirmation when it is done. You may designate an authorized agent to submit a request on your behalf, provided the agent has your written authorization.

Some categories of information cannot be deleted because the law requires us to retain them. In particular, we are required to keep billing and financial records, so these are retained and are not removed as part of a deletion request.

11. Children's Privacy

Our services are designed for business use by pest control companies and are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as soon as possible. If you believe we have collected information from a child under 13, please contact us immediately at [email protected].

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
